Executive Administrator

Report to: Chief Administrative Officer (CAO)

Base Location: Remote, Eastern time-zone based position


The Executive Administrator (EA) is responsible for the effective, efficient and comprehensive administrative support for Bpeace’s Chief Executive Officer (CEO), Chief Administrative Officer (CAO), and Chief Program Officer (CPO). The ideal candidate for this position won’t wait to be directed what to do, but will take initiative to suggest and perform administrative tasks.

Job Summary

This Executive Administrator (EA) is a highly competent multitasker who takes initiative to solve problems independently and displays appropriate prioritization and judgment at all times.
The EA completes a broad variety of administrative tasks including schedule, email and travel management, meeting support and document management, and may assist with special projects as they arise.
Schedule, email and travel management

  • Organize and manage schedules.
  • Assist with scheduling CEO outreach activities and coordinate with appropriate staff to prepare CEO for speaking engagements, member meetings and special events.
  • Monitor, prioritize and organize emails; drafting emails when directed.
  • Manage travel and accommodation arrangements making sure all reservations, transfers, travel itineraries etc. are prepared.

Meeting and technical support

  • Assist in coordinating and distributing meeting agendas.
  • Plan and schedule internal and external calls/meetings as required ensuring calendar invitations are sent out with relevant details for method of communication e.g. Zoom link.
  • Facilitate logistics for team meetings, off-sites and events.
  • Transcribe recorded meetings; format and distribute notes as required.
  • Communicate with stakeholders to convey meeting reminders.
  • Provide technical support for virtual meetings/calls as required.
  • Provide data entry support as needed.

Document development and management

  • Produce/format materials including Word, Excel and PPT docs for use during meetings, workshops, presentations and for other internal/external use.
  • File and folder management and organization (Dropbox).
  • Update and format existing documents and internal assets.

Education / Qualifications

  • Associate’s degree in Administrative Support or related field.
  • Proven competency using MS Office applications: Word, Excel, and PowerPoint as well as Dropbox, Zoom, Doodle and G-Suite scheduling tools.
  • Effective verbal and written English communication skills.
  • Able to prioritize, maintain confidentiality, and exhibit discretion in handling sensitive issues.
  • Reliable and responsive with proven ability to execute.
  • Outstanding planning and organizational skills and meticulous attention to detail.

Work Experience

  • 2+ years relevant work experience supporting senior level leaders in a complex and dynamic environment.
  • Comfortable working remotely on Zoom and Slack with little to no interaction in person with the rest of the Bpeace team.

Physical / Environmental Conditions

  • With headquarters based in the U.S., Bpeace is a remote organization, no office is provided.
  • The majority of your day is spent utilizing a computer and technology to communicate with international Bpeace staff, Fast Runner businesses, volunteer Skillanthropists and other stakeholders.

Remote Technical Requirements

You can work from any location you choose, but your office system must have:

  • A computer with a functioning web camera that supports the most recent stable version of Google Chrome, Mozilla Firefox, Apple Safari, or Microsoft Edge Chromium and Microsoft Office License.
  • Consistent access to a reliable hi-speed Internet connection.
